Privacy Policy

Last updated: October 22, 2026

This Privacy Policy explains how ExpenseLeaf collects, uses, shares, and protects information when you use the website and app. ExpenseLeaf is a role-based expense product. A personal account tracks that person’s own expenses. A business account sets up a company, chooses a team size, and adds members.

1. Who we are

ExpenseLeaf (“ExpenseLeaf”, “we”, “us”, or “our”) operates a product for scanning receipts and keeping expense records in one place. This policy applies to the public website, account registration and login, setup, receipt scanning, team member management, and the contact form.

2. Who this policy covers

  • Personal users who track their own expenses.
  • Business users who add a company, choose a team size, and manage members.
  • Members who are added by a business and sign in with their own email.
  • Administrators and support users who manage accounts, countries, features, and team sizes.
  • Visitors who browse the website or send a message through Contact Us.

3. Information we collect

  • Account details: name, email address, password, and the role you set up under, such as personal user, business user, or member.
  • Setup details: country. A team account also includes company name and team size.
  • Expenses: receipt images and the records created when you scan them.
  • Team details: member name and email, and later updates to those details.
  • Support messages: name, email, company, and the message sent through Contact Us.
  • Usage data: pages viewed, device and browser type, and similar information needed to keep sign-in and the app working.

4. How we use your information

  • Create your account, sign you in, and remember whether setup is finished.
  • Save your country, and for a team, the company name and team size.
  • Scan a receipt and keep the record with the right account.
  • Let a business account add members and update their name and email.
  • Reply when you contact us.
  • Protect the service, including checking that an email is not already registered.

5. How information is shared

ExpenseLeaf is built so the right account can see the records it needs. We do not sell your personal information.

  • A personal account’s expenses stay on that account.
  • A business account can see the members it added.
  • A member signs in separately and sees their own dashboard.
  • Administrators and support users may access accounts, countries, features, and team sizes to operate and support the product.
  • Service providers who host, secure, or help run ExpenseLeaf may process data on our instructions.
  • We may disclose information if required by law, or to protect the rights, safety, and integrity of ExpenseLeaf and its users.

6. Role-based access

Access depends on your role. A personal user, business user, member, administrator, or support user only sees the features and records associated with that role. A business account should use member and expense information only to manage that team’s expenses.

7. Cookies and similar technologies

We use cookies and similar storage to keep you signed in and remember your session. You can control cookies through your browser settings. Sign-in and the dashboard may not work if essential cookies or local session storage are blocked.

8. Data retention

We keep account, setup, receipt, and member records while the account is active and as needed to provide the service, resolve disputes, and meet legal or operational requirements. Contact messages are kept long enough to answer them. You may ask us to close an account, subject to information we must retain for security or compliance.

9. Security

We use role-based access and store passwords in a form that is not the plain password you type. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep your login details private and tell us promptly if you believe your account has been misused.

10. Your choices and rights

You can update your name and email after signing in, and you can change your password from your profile. A business account can update a member’s name and email. For other requests, including correcting details or closing an account, use the Contact page on this website.

11. Children’s privacy

ExpenseLeaf is intended for people managing personal or business expenses, not for children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided information to us, contact us so we can delete it.

12. Changes to this policy

We may update this Privacy Policy as ExpenseLeaf adds features or as legal requirements change. The “Last updated” date at the top of this page will change when we do. Continued use of ExpenseLeaf after an update means you accept the revised policy.

13. Contact us

Questions about this Privacy Policy can be sent through the Contact page on this website. We will review requests related to accounts, receipts, and team members.
