Terms and Conditions

Last updated: October 22, 2026

These Terms and Conditions govern your use of the ExpenseLeaf website and app. ExpenseLeaf helps a person track their own expenses and helps a business collect receipts from its team. By accessing or using ExpenseLeaf, you agree to these terms.

1. Agreement to these terms

These Terms and Conditions (“Terms”) form an agreement between you and ExpenseLeaf. If you use ExpenseLeaf on behalf of a company, you confirm that you have authority to bind that company, and “you” includes that organization.

If you do not agree to these Terms, do not use the website, create an account, scan receipts, or add members.

2. The ExpenseLeaf platform

  • Scanning a paper receipt with the AI receipt scanner and saving it as a record.
  • A personal account for tracking your own expenses.
  • A business account with a company name, country, and team size.
  • A member list, where the business adds people by name and email.
  • A dashboard that opens after setup is complete.
  • 5 free receipt scans on a new team account.

3. Eligibility

You must be at least 18 years old and legally able to enter a contract to use ExpenseLeaf. You must provide accurate information when you register and keep it up to date.

4. Accounts and user roles

ExpenseLeaf uses role-based accounts, such as personal user, business user, member, administrator, and support. You are responsible for activity under your account and for keeping your login details secure. You must not share your password or access another person’s account.

The dashboard opens only after setup is complete. If you leave setup early, your account remains, and signing in returns you to the remaining steps.

We may suspend or close an account if we reasonably believe these Terms have been violated, information is false, or the product is being used in a way that harms other users.

5. Personal expenses and receipts

  • The receipts and expense details you upload are yours to store, or you have permission to store them.
  • A scanned receipt may be saved with your account and shown on your dashboard.
  • You will use another person’s expense information only when your role allows it.

6. Team accounts and members

  • The company name, country, and team size you enter are accurate.
  • You will add only people who should be on that team, using their name and email.
  • You are responsible for updating or removing a member when they should no longer have access.
  • Member sign-in details are for that member. ExpenseLeaf does not make the business the member’s employer.

7. Scans

A new team account includes 5 free receipt scans. Any later limit or paid plan will be shown before you are charged. Scanning depends on a usable receipt image. ExpenseLeaf does not promise that every scan will read every field on every receipt.

8. Acceptable use

You agree to use ExpenseLeaf only for lawful expense tracking. You must not:

  • Upload receipts or member details you do not have a right to store.
  • Share passwords or try to open another person’s account.
  • Interfere with the product, attempt unauthorized access, or disrupt other users.
  • Use ExpenseLeaf to spam, harass, or break the law.
  • Upload content that infringes intellectual property or contains malware.

9. Intellectual property

ExpenseLeaf owns the product, website design, logos, software, and original content we provide, unless otherwise stated. You may use the service for its intended purpose. You may not copy, sell, reverse engineer, or redistribute ExpenseLeaf materials except as allowed by these Terms or with our written permission.

You keep ownership of the receipts, company details, and messages you submit. You grant ExpenseLeaf a licence to host, display, and process that content as needed to operate the product, for example saving a scanned receipt to your account or showing a member to the business that added them.

10. No tax or reimbursement guarantee

ExpenseLeaf helps you scan, organize, and manage expenses. We do not guarantee a tax deduction, a reimbursement, or a particular money outcome from a receipt or a report.

11. Disclaimers

ExpenseLeaf is provided on an “as is” and “as available” basis. We work to keep scanning and account records useful, but we do not warrant that every scan, total, or record is complete or error-free. You should check important expense details before you rely on them.

12. Limitation of liability

To the fullest extent permitted by law, ExpenseLeaf is not liable for indirect, incidental, or consequential losses arising from use of the product. Our total liability for claims related to these Terms or the service is limited to the amount you paid us for the relevant service in the twelve months before the claim, or a nominal amount if you used ExpenseLeaf at no charge.

13. Suspension and termination

You may stop using ExpenseLeaf and request account closure at any time. Signing out does not delete the account. We may suspend or terminate access if you breach these Terms, if required by law, or if we discontinue part of the service. Provisions that should reasonably survive, including intellectual property, disclaimers, and limitation of liability, remain in effect after termination.

14. Changes to these terms

We may update these Terms as ExpenseLeaf evolves. The “Last updated” date at the top of this page will change when we do. Continued use of the website or app after changes means you accept the updated Terms. If you do not agree, stop using ExpenseLeaf and ask for the account to be closed.

15. Contact us

Questions about these Terms, accounts, receipts, or team members can be sent through the Contact page on this website.
